Job Description
Watertech is looking to immediately hire a Billing Specialist to support our continued growth. Job responsibilities include compiling data and preparing invoices, assisting the Controller and Finance Department to keep financial records updated, preparing reports, and assisting with other tasks related to the company finances as needed. This position will work approximately 40 hours per week Monday through Friday. Office hours are 8:00 am to 4:30 pm. This is an in person position.
Key Responsibilities
- Prepare and Send Invoices: Generate, review, and send accurate invoices to customers according to billing cycles or agreements.
- Manage Customer Accounts: Maintain customer billing portals and update tax certificates.
- Reconciliation: Reconcile customer accounts to ensure accurate financial reporting and resolve any discrepancies in billing or payment.
- Customer Communication: Respond to customer inquiries regarding invoices, payments, and account balances, providing timely and professional customer service.
- Dispute Resolution: Investigate and resolve any billing discrepancies or disputes, working with internal teams (sales, customer service) as well as customers to ensure resolution.
- Compliance and Record Keeping: Ensure that all billing processes comply with company policies, financial regulations, and tax laws. Maintain organized and accurate records for auditing and reporting purposes.
- Process Improvement: Identify opportunities to streamline billing processes and improve efficiency in the AR function.
- Provide Support: Provide accounting and clerical support to the Controller and Finance Department.
Qualifications
- Proven working experience as a Billing Specialist and/or Accounts Receivable Specialist.
- Solid understanding of the legal and regulatory requirements related to billing and accounts receivable.
- Knowledge of collections practices and procedures.
- Data entry skills along with a knack for numbers.
- High degree of accuracy and attention to detail.
- Competency in MS Office, databases, and accounting software.
- Hands-on experience with spreadsheets and financial reports.
- Ability to perform filing and record-keeping tasks.
Education & Experience
- Two-year degree from college or technical school is preferred.
- 2-5 years of experience in a professional office environment.
- 1-3 years of accounts receivable or billing experience.
- Experience with accounting software (Dynamics NAV/Business Central).
